Terms & Conditions

Effective Date: 1 March 2025

Introduction

These Terms and Conditions (“Terms”) govern your participation in any educational programmes, bootcamps, training sessions, workshops, scholarships, and related offerings (collectively, “Programmes”) conducted by the School of Codes, a brand under Kr8iv Sdn Bhd. By applying to, enrolling in, or participating in any of these Programmes, you agree to be bound by these Terms and all policies, guidelines, and rules referenced herein or communicated to you in writing.

These Terms are designed to ensure clarity, fairness, and accountability in your journey with the School of Codes. They apply to all Participants, whether attending remotely or in person, and include provisions specific to application procedures, conduct during the Programme, refund policies, use of technology, data protection, and more.

Please read these Terms carefully. By submitting your application or participating in any Programme, you acknowledge that you have read, understood, and agreed to abide by these Terms in full. If you do not agree with any part of these Terms, you should not proceed with registration or participation.

The School of Codes reserves the right to update or modify these Terms at any time. Any changes will be communicated via the official website or by direct email to registered Participants. Continued participation in any Programme after such modifications constitutes acceptance of the updated Terms.

  1. Definitions

For the purposes of these Terms and Conditions, the following terms shall have the meanings assigned below. These definitions apply throughout the document unless otherwise specified.

School of Codes

Refers to the educational brand under Kr8iv Sdn Bhd, offering creative and technology-focused training, bootcamps, workshops, and industry-related programmes.

Programme

Refers to any educational activity, course, bootcamp, workshop, scholarship, or training session—whether conducted online or in person—offered by the School of Codes.

Participant

Any individual who applies to, is admitted into, or attends a bootcamp, course, or workshop offered by the School of Codes.

Apprentice

An individual who has successfully completed a bootcamp with the School of Codes and has been accepted into the Industry Immersion Programme (IIP). Apprentices engage in real-world industry placements, projects, or training sessions for up to four (4) months.

Bootcamp

An intensive, short-term learning experience focused on skill areas such as Artificial Intelligence/Machine Learning (AI/ML), User Interface/User Experience (UI/UX) design, and other creative technology domains.

Industry Immersion Programme (IIP)

A post-bootcamp initiative designed to provide practical, real-world exposure through industry-led projects, mentorship, or attachments. Participants of the IIP are referred to as Apprentices.

Scholarship

A financial award granted by the School of Codes to eligible applicants, which may cover full or partial participation fees for a designated Programme.

Application

The formal submission of required details, documents, and materials for consideration into a Programme, scholarship, or the IIP.

Admission

The official acceptance into a Programme, subject to meeting the necessary criteria and conditions.

Content

All materials—digital or physical—provided by the School of Codes for learning purposes, including documents, templates, resources, videos, presentations, assignments, and other media.

Kr8iv Sdn Bhd

The parent company of the School of Codes, responsible for its operational, educational, and administrative functions.

Platform

Any official School of Codes online interface, website, learning management system (LMS), or application used to deliver Programme content, assignments, or communications.

Instructor

An individual engaged or appointed by the School of Codes to deliver content, mentor Participants, or guide Apprentices during any Programme.

Assessment

Any form of evaluation, project, quiz, task, or test used to measure a Participant’s or Apprentice’s progress and performance.

 

  1. Eligibility Criteria

The School of Codes welcomes applicants from diverse backgrounds. Eligibility requirements vary depending on the type of programme. This section outlines both general and programme-specific criteria for participation.

2.1 General Eligibility Criteria (All Programmes)

Applicants must meet the following general conditions to be considered for any programme offered by the School of Codes:

    • Open to all nationalities, except individuals from countries subject to international sanctions or legal restrictions.
    • Open to all age groups, provided the applicant meets the specific eligibility requirements for their chosen programme.
    • Must demonstrate a genuine interest in the field of study, such as:
      • AI/ML: Interest in data science, coding, automation, or intelligent systems.
      • UI/UX: Interest in user behaviour, digital product design, or interactive design.
      • Future offerings may specify additional expectations according to the area of focus.
    • Must have a basic understanding of computer usage, with course-specific tools or platforms required depending on the programme:
      • For example, familiarity with tools like Figma is recommended for UI/UX programmes, but not necessary for AI/ML or other technical courses.
    • Must have access to a suitable personal computer or laptop that meets the minimum technical specifications (refer to Section 8).
    • Must have stable internet access to participate in online learning formats.
    • Must possess sufficient English language proficiency to follow and engage with the programme content.

2.2 Bootcamp Eligibility

To qualify for entry into a School of Codes bootcamp, applicants must:

    • Submit a complete and accurate application through the official application portal.
    • Pass the required English Proficiency Test and/or Aptitude Assessment, where applicable.
    • Attend an interview conducted by the School of Codes admissions panel, if required.
    • Meet any course-specific prerequisites as outlined in the programme description.
    • Agree to comply with the Code of Conduct and all other School of Codes policies and participation guidelines.

2.3 Scholarship Eligibility

Applicants seeking scholarships must:

    • Fulfil all general and bootcamp-specific eligibility requirements.
    • Demonstrate financial need, strong motivation, or notable potential in the chosen field of study.
    • Submit all required documentation, such as personal statements, academic records, portfolios, or reference letters.
    • Comply fully with the terms outlined in the Scholarship Terms and Conditions.

2.4 Industry Immersion Programme (IIP) Eligibility

To be considered for participation in the Industry Immersion Programme (IIP), applicants must:

    • Be Malaysian citizens between the ages of 18 and 30 at the time of application.
    • Typically, have successfully completed a relevant bootcamp conducted by the School of Codes.
    • Alternatively, individuals who have not completed a School of Codes bootcamp may be considered if they can demonstrate exceptional skill, knowledge, and experience in the relevant field.
    • To qualify under this alternative pathway, applicants must not have been employed or actively working for at least one (1) month prior to their application.
    • All such cases will be subject to review and approval by the School of Codes selection board.
    • Successfully pass any required internal assessments or submit a verified portfolio of relevant work.
    • Be available to participate in the full duration of the programme, which may extend up to four (4) months.
    • Exhibit strong professional conduct, maturity, and readiness to engage in real-world industry immersion.
    1. Application and Admission Process

The School of Codes is committed to maintaining a transparent, fair, and merit-based admissions process for all its educational programmes. This section outlines the general steps involved in applying to and gaining admission into any course, bootcamp, scholarship, or the Industry Immersion Programme (IIP).

3.1 Application Submission

    • All applications must be submitted through the official School of Codes website only.
    • Applicants are required to complete the online application form in full and provide accurate, current, and truthful information.
    • Additional documentation may be requested depending on the programme applied for, such as:
      • Personal statement or motivation letter
      • CV or résumé
      • Portfolio (for design-related programmes)
      • Academic transcripts or relevant certifications
      • Copy of National Identification Card or Passport
      • Supporting documents for scholarship applications

3.2 Assessment and Evaluation

    • Upon receipt of the application, candidates may be required to complete one or more of the following:
      • English Proficiency Test (mandatory for most programmes)
      • Aptitude or technical assessment tailored to the programme
      • Portfolio submission, where applicable
      • Interview with the School of Codes admissions team (conducted online or in person)
    • All assessments are designed to determine the applicant’s suitability, readiness, and potential for success in the chosen field.

3.3 Admission Decisions

Admission decisions are made based on a holistic evaluation of the applicant’s qualifications, motivation, assessment results, and overall alignment with the programme objectives.

Successful applicants will receive an Official Offer of Admission via email.

Admission offers are non-transferable and may be subject to further conditions such as:

    • Submission of additional documents
    • Payment of the full course/programme fee
    • Acceptance within a stated timeframe

The School of Codes reserves the right to reject applications that are incomplete, inaccurate, falsified, or submitted past the published deadline.

3.4 Acceptance and Enrolment

  • To confirm participation, admitted applicants must formally accept the offer through the specified portal or communication channel.
  • Upon acceptance, Participants will be provided with:
    • Programme orientation details
    • Schedule and technical access instructions
    • Payment or scholarship confirmation (if applicable)
  • Enrolment is only considered complete once all required steps have been fulfilled, including payment (if required) and agreement to the Terms and Conditions.
  1. Bootcamp Participation Terms

By accepting an offer and enrolling in a bootcamp with the School of Codes, Participants agree to abide by the following terms throughout the duration of the programme. These terms ensure a high-quality, respectful, and outcome-driven learning experience.

4.1 Attendance and Engagement

    • Full attendance is strongly encouraged. Participants are expected to attend all scheduled sessions, workshops, and mentorship hours unless a valid reason is provided in advance.
    • Repeated absences or persistent lateness may result in official warnings, academic review, or removal from the bootcamp.
    • Participants are responsible for actively engaging with instructors, peers, and course content throughout the bootcamp.

4.2 Code of Conduct

    • All Participants must maintain a professional, courteous, and respectful demeanour towards instructors, fellow learners, and School of Codes staff at all times.
    • Disruptive, discriminatory, or unethical behaviour will not be tolerated and may lead to immediate termination from the programme without refund.
    • Academic integrity is essential. Acts such as plagiarism, cheating, or unauthorised collaboration on individual assignments may result in disciplinary action, including disqualification.

4.3 Assignments and Assessments

    • Participants are required to complete all assigned tasks, projects, and assessments within the stipulated deadlines.
    • All work must be original and reflect the Participant’s individual effort unless group work is explicitly stated.
    • Assessment results contribute to the Participant’s final standing in the bootcamp and may influence eligibility for further opportunities, such as the Industry Immersion Programme (IIP).
    • Incomplete or missed assessments, without a valid reason or pre-approved extension, may result in non-certification.

4.4 Use of Learning Platforms and Tools

    • The School of Codes will provide access to relevant learning platforms, tools, and resources required for the bootcamp.
    • Participants must not share, misuse, or replicate proprietary materials, login credentials, or content without written permission.
    • Participants are responsible for maintaining the functionality and security of their personal equipment as outlined in Section 8.

 

4.5 Certification of Completion

    • Participants who meet the minimum standards for attendance, engagement, and assessment will receive a Certificate of Completion.
    • Participants who demonstrate exceptional performance in projects, assessments, or overall contribution may be awarded a Certificate of Excellence, which denotes distinction.
    • Certification decisions are made at the discretion of the School of Codes instructional team.
    • A certificate does not guarantee admission into the Industry Immersion Programme (IIP), which is subject to separate eligibility and selection criteria.

4.6 Termination from the Bootcamp

The School of Codes reserves the right to terminate a Participant’s enrolment at any point during the bootcamp in cases including but not limited to:

    • Breach of the Code of Conduct
    • Persistent absenteeism or failure to engage
    • Misconduct, academic dishonesty, or disruption of learning
    • Failure to comply with the School’s rules, deadlines, or expectations

In such instances, no refund shall be issued unless explicitly stated in the Refund and Cancellation Policy.

  1. Industry Immersion Programme (IIP) Terms

The Industry Immersion Programme (IIP) is a career-readiness initiative offered by the School of Codes to eligible individuals seeking real-world exposure in technology and creative industries. Participants in hands-on or industry-based programmes acknowledge that some activities may involve physical, technical, or environmental risks. By enrolling, they agree to assume responsibility for their own safety and adhere strictly to all safety protocols issued by the School or its partners. The following terms apply to all Apprentices accepted into the IIP.

5.1 Purpose and Scope

    • The IIP is designed to provide hands-on industry experience, skill application, and professional development following bootcamp completion or by direct entry based on demonstrated expertise.
    • Apprentices may be assigned to external companies, Industry Alliance Partners (IAP), or internal projects approved by the School of Codes.
    • The IIP duration may vary but will not exceed four (4) months.

5.2 Eligibility and Entry Pathways

To participate in the IIP, applicants must:

    • Be Malaysian citizens aged 18 to 30 at the time of application.
    • Pathway 1: Bootcamp Route – Successfully complete a relevant School of Codes bootcamp and meet performance and behavioural standards.
    • Pathway 2: Direct Entry Route – Applicants who have not completed a bootcamp may apply if they can demonstrate exceptional skill, experience, and readiness in the relevant field.
    • To qualify under this route, applicants must not have been actively employed for at least one (1) month prior to application.
    • All direct entry applicants are subject to thorough review and approval by the School of Codes selection board.
    • Present a portfolio, project work, or undergo an internal assessment and/or interview as part of the evaluation process.

5.3 Conduct and Responsibilities

    • Apprentices must adhere to a high standard of professionalism, punctuality, and discipline during their placement or project tenure.
    • Any breach of conduct, poor performance, or unprofessional behaviour may result in removal from the programme.
    • Apprentices are expected to actively participate, take ownership of assigned tasks, and communicate effectively with both the host organisation and School of Codes mentors and instructors.
    • Apprentices must comply with any NDAs, workplace policies, or confidentiality agreements issued by partner organisations.

5.4 Supervision and Mentorship

    • Each Apprentice will be assigned a mentor or supervisor to guide their learning experience and provide regular feedback.
    • Periodic check-ins and progress reviews will be conducted to ensure that the learning outcomes are being met.
    • Apprentices must attend these reviews as scheduled and submit any required reports or reflections.

5.5 Completion and Certification

    • Successful completion of the IIP requires:
      • Full participation for the agreed-upon duration
      • Positive performance reviews and feedback from supervisors or host organisations
      • Submission of a final report, presentation, or portfolio summary (as required)
    • Upon satisfactory completion, Apprentices will be awarded a Certificate of Achievement (Industry Immersion Programme) from the School of Codes.
    • This certificate serves as formal recognition of practical experience and may strengthen employment opportunities.

5.6 Termination and Withdrawal

    • The School of Codes reserves the right to withdraw or terminate an Apprentice from the IIP in the event of:
      • Misconduct, breach of the Code of Conduct, or violation of host organisation policies
      • Consistent underperformance or non-compliance with programme expectations
      • Unauthorised absences or failure to attend scheduled sessions, reviews, or placements
      • Breach of any signed agreements, including non-disclosure or confidentiality clauses
    • Voluntary withdrawal by an Apprentice is not permitted unless for genuine and justifiable reasons, such as:
      • Serious medical or psychological conditions supported by an official medical certificate
      • Family emergencies or unforeseen caregiving responsibilities
      • Verified relocation or life-altering changes beyond the Apprentice’s control
      • Other exceptional cases reviewed and approved by the School of Codes
    • All withdrawal requests must be submitted in writing with relevant supporting documentation, and are subject to approval by the School of Codes management.
    • In the case of unauthorised, unjustified, or early withdrawal, the Apprentice may be subject to:
      • Loss of certification
      • Disqualification from future programmes, scholarships, or placement opportunities
      • Repayment of all allowances or remuneration received (if any) throughout the course of the IIP
      • A formal record of the withdrawal placed in the Apprentice’s School of Codes profile
  1. Fees and Payment Terms

This section outlines the fee structure, payment obligations, and related financial terms for participation in School of Codes programmes, including bootcamps, short courses, and other offerings.

6.1 Programme Fees

    • Each programme offered by the School of Codes may carry a fee structure based on its duration, content, and delivery mode (online or physical).
    • Fees may vary depending on the course type (e.g., bootcamp, course, workshop, or certification) and will be clearly stated on the official programme information page.
    • Participants are responsible for reviewing and understanding all associated fees before confirming enrolment.

6.2 Payment Schedule

    • Payment of fees must be made in full or in accordance with the approved payment plan communicated at the time of admission.
    • Deadlines for payment will be specified in the Offer of Admission or confirmation email.
    • Failure to pay within the specified timeframe may result in:
      • Loss of reserved placement in the programme
      • Delayed access to course materials or platforms
      • Withholding of certification upon completion

6.3 Payment Methods

    • All tuition and related fees must be paid exclusively through the School of Codes’ designated Stripe payment gateway.
    • Malaysian citizens are required to complete payments in Ringgit Malaysia (MYR).
    • International participants must make payments in United States Dollars (USD).
    • Stripe supports a wide range of secure payment methods, including credit cards, debit cards, and selected digital wallets, in accordance with Stripe’s standard terms of acceptance.
    • No other forms of payment—including bank transfers, cash, or third-party platforms—will be accepted unless explicitly authorised in writing by the School of Codes finance team.
    • All payments must be completed through the official payment link provided upon admission. Participants are responsible for ensuring timely and successful transaction processing prior to the commencement of the programme.

6.4 Scholarships and Sponsored Participation

    • Applicants awarded scholarships or subsidies are exempted from fee payments covered under the scholarship terms.
    • Any outstanding balance not covered by the scholarship remains the responsibility of the Participant.
    • If a scholarship recipient withdraws prematurely or violates programme policies, the School of Codes reserves the right to reclaim part or all of the awarded value.

6.5 Late Payments and Penalties

    • A late payment fee or administrative charge may be imposed if fees are not received by the due date.
    • Persistent non-payment without valid reason may result in:
      • Suspension from the programme
      • Revocation of access to learning platforms and materials
      • Disqualification from certification or future opportunities

6.6 Receipts and Invoices

    • Official receipts or invoices will be issued upon confirmation of payment.
    • Participants are encouraged to retain proof of payment for future reference or claims.
  1. Technology and Equipment Requirements

To ensure effective participation in the School of Codes’ digitally delivered programmes, all participants and apprentices are required to have access to appropriate technology and meet minimum equipment specifications. These requirements are critical to maintaining an uninterrupted and productive learning experience.

 7.1 Minimum Equipment Specifications

All participants must have access to a personal computer or laptop that meets the following minimum specifications:

    • At least 8GB of RAM
    • A modern multi-core processor (e.g. Intel i5 or equivalent)
    • Solid State Drive (SSD) storage preferred for faster performance
    • Functional built-in camera, microphone, and speakers, or external peripherals for video conferencing
    • Updated operating system and browser to support all learning platforms

Higher specifications may be required for specific courses, particularly those involving data processing, design tools, or machine learning environments.

7.2 Internet Connectivity

    • A stable, high-speed internet connection is mandatory for all online sessions, including live classes, group work, assessments, and mentoring.
    • Participants are responsible for ensuring that their internet connection is sufficient to handle video calls, content downloads, and real-time collaboration.

7.3 Software Requirements

    • The School of Codes will inform participants of any specific software or tools required for their respective programmes.
    • For UI/UX bootcamps, tools such as Figma and Miro may be introduced.
    • For AI/ML bootcamps, access to platforms such as Google Colab, Jupyter Notebooks, or Python environments may be required.
    • Most tools used will be cloud-based or free to access; however, any premium software costs will be disclosed in advance if applicable.

7.4 Platform Access

    • Participants will receive login credentials to access the School of Codes’ official learning platforms and resources.
    • Sharing access credentials or allowing unauthorised third-party use of learning platforms is strictly prohibited.
    • Participants must maintain proper digital hygiene and security, including using strong passwords and avoiding unauthorised downloads.
  1. Code of Conduct

All individuals participating in School of Codes programmes—whether as Participants or Apprentices—are expected to uphold the highest standards of conduct, professionalism, and integrity throughout their engagement with the institution and its partners. This Code of Conduct applies across all platforms, communications, physical and virtual learning spaces, and affiliated industry placements.

8.1 General Behaviour Expectations

    • Treat all fellow learners, instructors, mentors, partners, and staff with respect, professionalism, and courtesy at all times.
    • Maintain a positive and inclusive learning environment by avoiding any form of discrimination, harassment, bullying, or derogatory remarks based on race, gender, religion, age, disability, or background.
    • Refrain from any form of misconduct, disruption, or behaviour that negatively affects the learning experience or safety of others.

8.2 Academic Integrity

    • All assignments, projects, and assessments must represent the participant’s or apprentice’s own original work unless otherwise stated.
    • Plagiarism, cheating, fabrication of data, or unauthorised collaboration is strictly prohibited and may result in disciplinary action, including removal from the programme.
    • Respect intellectual property rights and do not share or distribute course content without permission.

8.3 Communication and Collaboration

    • Communicate respectfully and professionally across all channels, including emails, messaging platforms, video calls, and discussion boards.
    • Constructive feedback is encouraged; however, personal attacks, profanity, or disruptive commentary will not be tolerated.
    • In group settings or collaborative tasks, contribute actively and fairly, ensuring shared responsibilities are met.

8.4 Technology and Platform Use

    • Participants and apprentices must use learning platforms, digital tools, and communication systems responsibly and for their intended educational purposes only.
    • Sharing access credentials, tampering with systems, or engaging in any form of cyber misconduct (e.g. hacking, impersonation, spamming) is strictly prohibited.
    • Any misuse of School of Codes property—physical or digital—may lead to disciplinary action.

8.5 Professional Conduct (for Apprentices)

    • Apprentices must adhere to the policies, guidelines, and expectations of any organisation or partner they are placed with during the Industry Immersion Programme.
    • This includes compliance with attendance policies, confidentiality agreements, dress codes, punctuality, and task completion standards.
    • Any act of gross misconduct or repeated non-compliance may result in termination from the IIP.

8.6 Disciplinary Action

Violation of the Code of Conduct may result in one or more of the following actions, depending on severity and frequency:

    • Formal warning
    • Temporary suspension from the programme
    • Removal from group activities or access restrictions
    • Expulsion from the programme without refund
    • Disqualification from certification or future opportunities
    • Reporting to relevant authorities if the breach involves legal violations
  1. Intellectual Property

This section outlines the ownership and use of intellectual property (IP) created, used, or shared during participation in School of Codes programmes, including bootcamps, workshops, and the Industry Immersion Programme (IIP).

9.1 Ownership of Course Materials

    • All course materials, content, resources, documentation, presentations, and tools provided by the School of Codes remain the intellectual property of Kr8iv Sdn Bhd or its authorised partners.
    • These materials are provided solely for educational purposes and may not be copied, reproduced, distributed, or used for commercial purposes without prior written consent.
    • Participants and apprentices are granted limited, non-transferable access to use these materials during the duration of their programme.

9.2 Participant and Apprentice Work

    • Any original work, project, design, or code created independently by a participant or apprentice remains their intellectual property.
    • However, by submitting such work as part of any programme, participants grant the School of Codes a non-exclusive, royalty-free licence to use, display, publish, or showcase the work for educational, promotional, or reporting purposes, with appropriate attribution where applicable.
    • Group projects or collaborative works may be jointly owned, and any external use must be agreed upon by all contributors and the School of Codes.

9.3 Industry and Placement Projects

    • Any work produced during an industry placement or project under the IIP, including those hosted by Industry Alliance Partners (IAPs), may be subject to ownership and confidentiality terms defined by the host organisation.
    • Apprentices are required to fully comply with any intellectual property clauses, non-disclosure agreements, or proprietary rights terms agreed upon with their assigned IAP.
    • In such cases, partial or full ownership of the resulting work may reside with the IAP, depending on the conditions set out in the placement agreement.

9.4 Use of Names, Likeness, and Media

    • By participating in School of Codes programmes, participants and apprentices consent to the use of their name, image, likeness, and general participation in photographs, video footage, interviews, or testimonials for both commercial and non-commercial purposes.
    • This may include promotional materials, digital publications, websites, social media, and stakeholder reporting.
    • Participants who do not wish to have their name or likeness used must submit a written opt-out request to the School of Codes prior to the start of the programme.
  1. Limitation of Liability

The School of Codes, operated under Kr8iv Sdn Bhd, aims to deliver its programmes to the highest possible standard. However, the following limitations of liability apply to ensure fairness and manage expectations.

10.1 Programme Content and Delivery

    • While every effort is made to ensure the accuracy and relevance of content, the School of Codes does not guarantee that all programme materials will be error-free, uninterrupted, or fully comprehensive in covering all subject matter.
    • The School of Codes reserves the right to update, modify, or adjust the content, structure, instructors, or delivery method of any programme without prior notice, where such changes are necessary or beneficial.

10.2 Participant Performance and Outcomes

    • The School of Codes does not guarantee any specific academic outcome, job placement, employment offer, or income level as a result of participation in any programme.
    • Participant success depends on personal effort, aptitude, attendance, and engagement.
    • Participation in the Industry Immersion Programme (IIP) is not guaranteed and is subject to eligibility and selection criteria.

10.3 Access and Technology

    • The School of Codes is not liable for technical issues arising from the participant’s own devices, internet connectivity, software compatibility, or misuse of the learning platform.
    • Participants are responsible for meeting the technology requirements outlined in Section 7.
    • Temporary access interruptions due to system maintenance, platform upgrades, or service outages will be addressed promptly, but do not constitute grounds for liability.

10.4 Third-Party Services and Partnerships

    • The School of Codes may use third-party platforms, tools, or external partners (including Industry Alliance Partners) to facilitate programme delivery, assessments, or placements.
    • The School of Codes is not liable for the actions, performance, or policies of such third parties, including delays, miscommunications, or outcomes beyond its direct control.

10.5 Maximum Liability

    • Under no circumstances shall the School of Codes be liable for indirect, incidental, special, or consequential damages, including but not limited to loss of income, data, opportunity, or reputation.
  1. Privacy and Data Protection

The School of Codes is committed to protecting the privacy and personal data of all applicants, participants, apprentices, and affiliated stakeholders. This section outlines how personal information is collected, used, stored, and safeguarded in accordance with applicable data protection laws, including the Personal Data Protection Act 2010 (PDPA) of Malaysia.

11.1 Data Collection

    • The School of Codes may collect personal data through application forms, online platforms, assessments, surveys, interviews, or direct communication.

    • In cases of force majeure or circumstances beyond the reasonable control of the School of Codes—including but not limited to natural disasters, pandemics, national emergencies, political unrest, internet outages, or governmental restrictions—programmes may be modified, rescheduled, postponed, or delivered via alternative formats without liability.

12.4 Participant Responsibility

Participants are expected to remain adaptable and responsive to any changes introduced, and to make necessary adjustments to their schedules, equipment, or learning approach when required.

  1. Termination or Suspension

The School of Codes reserves the right to suspend or terminate a participant or apprentice from any programme if certain conditions are violated or if continued participation is deemed detrimental to the learning environment, institutional integrity, or partner relationships.

13.1 Grounds for Termination or Suspension

A participant or apprentice may be suspended or removed from a programme for any of the following reasons:

    • Violation of the Code of Conduct or academic integrity policies
    • Repeated non-attendance, poor participation, or failure to meet minimum academic requirements
    • Unauthorised use, distribution, or reproduction of course materials
    • Misuse of technology, platforms, or learning resources
    • Disruption to the learning environment or harassment of others
    • Breach of any legal, confidentiality, or intellectual property agreements
    • Misrepresentation of personal information or qualifications
    • Unauthorised withdrawal or abandonment of the programme

13.2 Process of Suspension or Termination

    • The School of Codes will initiate a review process in cases of suspected misconduct or non-compliance.
    • Participants will typically be issued a written warning or notice of concern prior to any formal action, unless the violation warrants immediate removal.
    • Affected individuals will be given an opportunity to respond or appeal during the review process.
    • Final decisions will be communicated in writing and take effect immediately upon issuance.

13.3 Consequences

    • Terminated or suspended individuals may lose access to learning platforms, mentorship, and communication channels.
    • Certificates of completion, participation records, or progression to future programmes may be withheld or revoked.
    • Scholarships, financial aid, or allowances may be cancelled or subject to repayment, in line with prior agreements.
    • Re-enrolment in future programmes may be denied depending on the nature of the offence.

13.4 Voluntary Withdrawal

    • Participants may request to voluntarily withdraw from a programme under certain conditions.
    • Such requests must follow the proper withdrawal process as defined under each specific programme and are subject to review, financial conditions, and eligibility for re-application.

These Terms and Conditions, and all rights and obligations arising from participation in any School of Codes programme, shall be governed by and interpreted in accordance with the laws of Malaysia.

14.1 Legal Jurisdiction

    • Any disputes, claims, or legal proceedings arising out of or in connection with these Terms or the programmes offered by the School of Codes shall fall under the exclusive jurisdiction of the courts of Malaysia.

14.2 Compliance with Local Laws

  • Participants are responsible for ensuring that their participation does not violate any local laws or regulations in their country of residence.
  • Where international participants are involved, these Terms shall be interpreted in accordance with Malaysian law, and any conflicts shall be resolved within that legal framework.

14.3 Language

  • In the event of any discrepancies between versions of these Terms in different languages, the English version shall prevail as the official and binding document.

Scholarships

The School of Codes is committed to making world-class tech education accessible to aspiring talents across Malaysia. Our scholarship programme aims to empower promising individuals with the opportunity to pursue bootcamps and training regardless of financial background.

  1. Eligibility Criteria

To apply for a scholarship at the School of Codes, the applicant must meet the following criteria:

    • Be a Malaysian citizen.
    • Be between the ages of 16 to 30 years old at the time of application.
    • Demonstrate a genuine interest in the fields of technology, design, or innovation, particularly in areas such as AI/ML or UI/UX.
    • Have access to a computer and internet connection for online participation in bootcamp activities.
    • Meet minimum requirements for English proficiency and basic digital literacy (see Assessment section).

Note: Scholarships are available for both fresh graduates and non-traditional learners, including career switchers and those without formal qualifications but with strong potential.

  1. Application Process

All scholarship applications must be submitted through the official School of Codes website.

Applicants are required to:

    • Complete the online application form in full.
    • Upload supporting documents, including:

    • Partial Scholarship
      Offers financial support covering a significant portion of the bootcamp fee. The exact amount will be determined by the School of Codes Scholarship Board, based on each applicant’s profile and circumstances.

Scholarship amounts and categories are determined by the School of Codes Board and may vary for each intake.

  1. Final Selection and Decision
    • All decisions regarding scholarship awards are made at the sole discretion of the School of Codes Scholarship Board or Board of Directors.
    • The decision is final and non-negotiable, though applicants may submit an appeal with new or clarifying information for reconsideration, provided it is done within five (5) working days of receiving the initial outcome.
    • Successful applicants will be notified via email and must confirm acceptance within the given deadline.
  1. Obligations of Scholarship Recipients

Scholarship recipients are expected to:

    • Maintain full attendance and participate actively in all sessions and assignments.
    • Adhere to the Code of Conduct and display professionalism throughout the bootcamp.
    • Complete all projects, tasks, and evaluations as assigned.
    • Cooperate with School of Codes marketing, research, and promotional activities (e.g., testimonials, surveys).
    • Repay part or all of the scholarship value if they withdraw or are terminated due to disciplinary reasons or non-performance (subject to Board review).
  1. Non-Transferability

Scholarships are non-transferable and valid only for the specific programme intake and bootcamp applied for.

Deferrals may be granted once only under special circumstances, subject to approval.

Refund and Cancellation Policy

At the School of Codes, we recognise that unexpected circumstances may arise. While our bootcamps require careful planning and limited seat availability, we remain committed to providing a transparent and fair refund and cancellation policy for all participants.

  1. General Principles
    • All fees paid are non-transferable between intakes or bootcamps unless explicitly stated otherwise.
    • Refunds, if applicable, will be processed within 30 working days from the date of confirmation of eligibility.
    • Refunds will be issued via bank transfer to the original payor’s account unless alternative arrangements are requested and approved in writing.

In the unlikely event that the School of Codes cancels a programme, course, or bootcamp due to unforeseen circumstances (e.g., low enrolment, instructor unavailability, or force majeure):

Participants will have the option to:

    • Receive a 100% full refund of all programme fees paid
    • Defer their place to the next available intake of the same programme, subject to availability
  1. Withdrawal After Programme Commencement
    • Participants who withdraw voluntarily after the programme begins are not eligible for any refund.
    • Exceptions may be granted for compassionate or medical reasons, subject to submission of supporting documentation and approval by the School of Codes Board.
    • In such cases, any refund granted will be at the discretion of the board and may be partial.
  1. Scholarships and Sponsored Participants
    • Participants who receive full or partial scholarships and later withdraw or are removed from the programme due to misconduct or non-compliance may be required to:
      • Repay the scholarship amount in full or in part
      • Cover any administrative or legal costs related to recovery of the funds
